Most small businesses that fail do not fail because they are unprofitable. They fail because they run out of cash. Here are practical, proven strategies to stay on top of your cashflow.

1. Know Your Numbers Weekly

Review your bank balances, outstanding invoices, and upcoming expenses at least weekly. Cloud accounting tools like Xero and MYOB make this easy. You cannot manage what you do not measure.

2. Invoice Promptly and Chase Overdue Accounts

Many businesses invoice late or are slow to follow up on overdue accounts. Set up automated payment reminders in your accounting software and have a clear policy for debtor management. Consider offering early payment discounts for large clients.

3. Negotiate Better Payment Terms

Try to shorten the payment terms you offer customers while lengthening the terms you have with suppliers. Even moving from 30-day to 14-day customer terms can dramatically improve your cash position.

4. Build a Cash Buffer

Aim to keep at least 60 to 90 days of operating expenses in a separate business savings account. This buffer protects you from slow trading periods, unexpected expenses, or a major client paying late.

5. Plan for Tax Obligations

One of the most common cashflow traps is being caught short when a BAS, PAYG withholding, or tax bill comes due. Set aside a percentage of every payment you receive into a dedicated tax account. As a guide, 25 to 30% of your net profit is a conservative buffer for most small businesses.

6. Use a 13-Week Cashflow Forecast

A rolling 13-week cashflow forecast gives you visibility over the next quarter. List every expected inflow and outflow, week by week. This simple tool will highlight upcoming shortfalls well before they become a crisis.

7. Review Costs Regularly

Expenses have a way of creeping up. Set aside time each quarter to review all subscriptions, supplier contracts, and fixed costs. Cancel anything that is not delivering value and renegotiate anything you can.
